• Responsibilities include direct support to the Deputy Supervisor; planning, organizing, and implementation of all administrative activities. Also responsible for records management, report preparation, coordination of calendars and scheduling, meeting management, logistical coordination, presentation preparation. Uses independent judgment to accomplish assignments or solve problems.
• Within DNR, this position performs a wide variety of complex tasks assisting with and coordinating aspects of the Wildland Fire Management Division services and the role of State Forester, providing project, services and contracts management support, technical assistance and specialized consultation to the division and community stakeholders, and recommending resolutions for problems and issues related to the Wildland Fire Management division and federal cooperative forestry and fire programs, projects and services. This position assists the division leadership in the preparation of complex schedules, plans, summaries, recommendations, reports; researches and abstracts information supporting data preparation for meetings, presentations, and work projects.
• As part of the wildland fire management team, interact directly with agency staff at all levels, executives and leaders from other state and federal governmental agencies, other public and private sector organizations, and stakeholder groups. Coordinating and committing staff time, and tracking deadlines for assignments.
• Effectively coordinating executive calendaring and meeting management to include determining priorities, ensuring deputy is well prepared for discussions, and pertinent staff are involved. Take meeting minutes as needed, ensuring follow up is performed. Responsible for determining and arranging meeting logistics.
• Tracking deadlines and assignments for the Deputy Supervisor and team, as well as prioritizing incoming and outgoing requests; assessing assignments and involving necessary agency staff as needed to ensure completion of assignments in a timely manner.
• Responding to public disclosure requests for the Deputy Supervisor, ensuring compliance with agency and state retention schedules.
• Coordinating all aspects of travel arrangements to include detailed itineraries.

• Five years of administrative support experience, preferably with three at the executive assistant level.
• Working knowledge of state government operations.
• Proficiency in the use of Windows Office Suite.
• Excellent oral, written, and interpersonal communication skills.
• Ability to multi-task, prioritize work for self, balance workload, meet short deadlines, and work independently in a fast-paced environment with strong attention to detail.
• Ability to work with sensitive information, public policy, and personnel issues while maintaining confidentiality.
• Ability to anticipate executive needs, work well in stressful situations, and respond appropriately to emergencies.
• Experience preparing high level documents, spreadsheets, and presentations.
• Ability to comprehend and interpret complex discussions and independently compose clear, accurate and concise notes.
• Ability to maintain effective working relationships within the division, other divisions and regions, other government entities and the public.
• Understand organizational structure and mission and functions of the department.

• This position is both an in home and office setting located at the Natural Resources Building, in Olympia, WA. Demands of this job may require employee to function away from their normal workspace both on and off site.
• Travel for this position is minimal, but may occasionally require in-state travel for meetings, etc.

• Experience navigating the legislative process, tracking legislation, and interacting with Legislators and legislative staff.
• Experience working with elected tribal officials, executives, and staff.
• Experience working with SharePoint.
• Experience with state contract administration.
• Bachelor's degree.
